Terms
Last updated: 13 October 2026
These are the terms for using CostTabs. They are written to be read. If a line here does not match what the app does, the app is right and the line is a mistake: write to us and we will fix it.
The licence
CostTabs is licensed to you under Apple's standard licence agreement for apps from the App Store. These terms add the parts that are particular to CostTabs. Apple's Media Services terms apply to the subscription.
What is free
CostTabs is free to download. Without a plan you get 5 scans, once, to try reading receipts and invoices. A scan is one receipt or invoice read for you, by any way of reading. Typing a receipt in by hand never uses a scan. Everything you save stays yours, with or without a plan.
Reading on the iPhone uses Apple Intelligence, which needs an iPhone 15 Pro or later with Apple Intelligence turned on and set to a language it supports.
Plans: Starter, Pro and Business
Plans are optional subscriptions. Starter covers receipts. Pro and Business also cover supplier invoices, their prices, Movers and iCloud sync. Each plan gives a number of scans each calendar month: Starter 40, Pro 150, Business 500. Unused scans do not carry over. When a month's scans are used, you can type a receipt in by hand until the next month starts.
Server reading is for running your own business. Each copy of the app can use it five times for free; after that it is part of a plan, and each document read counts as one of the plan's scans for the month (40 on Starter, 150 on Pro, 500 on Business).
In Australia, Starter costs A$9.99 a month or A$99.99 a year, Pro A$24.99 a month or A$249.99 a year, and Business A$49.99 a month or A$499.99 a year. Prices above are for the UK. In Australia, Starter, Pro and Business are A$9.99, A$24.99 and A$49.99 a month. In the US, $6.99, $14.99 and $29.99 a month. A year costs about ten months. The App Store shows the price where you are. The price you pay is the one shown in the app before you subscribe. There is no free trial. When you tap Subscribe, Apple bills you that day.
The subscription renews automatically at the end of each period unless you cancel at least 24 hours before that period ends. You cancel in your Apple Account subscription settings: on the iPhone, Settings, your name, Subscriptions. The plans screen in the app has a Manage or cancel link that opens the same place. Cancelling keeps your plan until the end of the period you have paid for. Refunds are handled by Apple under Apple's terms.
If a plan lapses, nothing is deleted. Your receipts, invoices, suppliers, prices and claims stay on the phone, and the photos stay in your iCloud. iCloud sync stops copying, and what it already copied stays in your iCloud. Only free scans you have not used yet still work; typing a receipt in by hand always works.
Reading is not perfect
CostTabs reads a photo or PDF of a receipt or invoice. A shop, a date, a product, a quantity, a price, a tax amount or a total can be misread, and a document can be sorted into the wrong place. You see what was read before it is saved, and you can change it, before and after saving.
Price changes, overcharges and short deliveries are worked out from what was read and what you entered. Check a figure against the invoice before you rely on it, and before you send a claim.
Claims and your suppliers
CostTabs writes a claim message for you to send. Whether a supplier agrees to a credit is between you and your supplier. We are not a party to your supply agreements and we do not contact suppliers for you.
Tax and records
CostTabs keeps your receipts and invoices and adds up the tax printed on them, using the tax name and rate you set. It is not tax, accounting or financial advice, and it does not lodge anything. It is not approved by any tax office. Your accountant or bookkeeper decides what goes on your returns. You are responsible for keeping the records your tax office asks for, for as long as it asks.
CostTabs can fill in an email to your own address at Xero, QuickBooks, MYOB, FreshBooks or Wave, which you send yourself, and it can export a spreadsheet with your photos. Neither is a direct connection, and those companies did not make or approve CostTabs. Check what arrives before you rely on it.
If you use your own OpenAI key
The key is yours. You open the OpenAI account, you add the credit, and you pay OpenAI for what you use. We do not manage, see or hold your OpenAI account or your key, and we add nothing to what OpenAI charges. The text and up to three page photos go straight from your iPhone to OpenAI. OpenAI's terms of use cover what OpenAI does with them.
Your data
Your receipts, invoices and everything worked out from them are stored on your iPhone, and the photos are copied to your own iCloud Drive. On Pro or Business, with iCloud sync turned on, your records are kept in your own iCloud too, and a new iPhone signed in to it gets them back. We hold no copy of your records, so there is nothing for us to restore: without sync, if the phone is lost or the app is deleted, the records on it go with it, and the photos in your iCloud stay. Use the exports to keep your own copy as well.
Your rights under Australian law
Nothing in these terms takes away a right you have under the Australian Consumer Law, or under the law of the country you live in, that cannot be excluded. Where the law lets us limit those rights, our liability is limited to supplying the service again or paying the cost of having it supplied again.
Otherwise, and to the extent the law allows, the app is provided as it is, and we are not liable for loss arising from its use, including a misread line, a missed price change, a claim a supplier does not accept, a record a tax office does not accept, lost data, or charges from a third-party service you connected yourself.
Changes
We may change these terms. Changes are posted here with a new date. Using the app after that date means you accept them. We cannot notify you directly, because we do not have your contact details.
